Booking process
Q1. When do I need to make my reservation?
The room booking link is open for booking starting from beginning of May. Please book your room until July 10th.
Q2. Can I change the language of the booking tool?
No, the booking platform is currently available in English only. Please use your browser's translation features if needed.
Q3. Will I receive a booking confirmation?
Yes, an automatic reservation confirmation will be sent to you by email immediately once you finalise your booking.
Q4. Will I receive an invoice for my booking?
Yes. Your invoice will be available for download within 24 hours of completing your booking.
Q5. When will my credit card be charged?
Your credit card will be charged upon completing the booking.
Q6. What if no rooms are available?
The hotel is fully booked during the fair period. We invite you to reserve your room as early as possible to be sure to have the desired availability. Should no rooms remain available, please contact the External Events team.
Q7. What if I need to arrive earlier or stay later than what is available?
A contracted number of rooms has been reserved for Alstom in this hotel during the InnoTrans fair dates. If you need to arrive earlier or stay later than these dates for reasons related to your participation in the fair, kindly contact the External Events team before making your reservation.
Q8. Can I reserve multiple rooms at a time?
Yes, it is possible to reserve several rooms during the same booking process. You may add one invoice contact and include the names of all individual guests for each room during the reservation process.
Q9. Are payments secure?
Yes, all payments are processed through Stripe, a leading solution for online transaction security. No banking details are stored on the platform.
Q10. Is this booking site GDPR compliant?
Yes, the platform is fully compliant with GDPR requirements currently in force in Europe. All your data is encrypted and strictly private. No payment method is stored on the platform; payment fingerprints are processed exclusively through Stripe, which is itself fully compliant with current GDPR regulations.
Modification & cancellation
Q11. Can I modify my reservation?
You can modify the stay dates of your reservation. If you need to extend your stay, please make an additional booking for the extra nights. If you need to shorten your stay, please cancel the individual night(s) that are not needed anymore by clicking on the « Manage my booking » button at the bottom of your booking confirmation email.
DO NOT CONTACT THE HOTEL DIRECTLY TO MAKE CHANGES TO YOUR RESERVATION! The hotel does not yet have access to the reservations. Changes must be made via the booking platform.
Q12. Can I change the name on my reservation?
The booking system does allow you to change the name on an existing reservation. However, please bear in mind that this is a nominative reservation which has been charged to your personal company credit card. If you cannot travel anymore and another colleague will travel in your stead, we advise you to cancel your reservation before the cancellation deadline and make a new one with the new name, charged to that person's company credit card.
Q13. Can I cancel my reservation?
You may cancel your reservation up until August 31, 2026. Any cancellation after this date cannot be accepted and will result in a full charge of the stay.
Q14. Can I receive a refund when I cancel my reservation?
Yes. You will receive a refund for the cost of the room night, breakfast, city tax and taxes. A booking fee of 2.00% of the room rate per night applies for each booking. This fee is non-refundable. The refund will be issued to the credit card used for the initial payment within approximately 5 business days.
Q15. What happens if I cannot travel and forgot to cancel my reservation (No Show)?
Your reservation will be considered a No Show and you will be charged for the full amount of your stay. No refund will be given on your credit card.
At the hotel
Q16. What is included in my room rate?
The room rate includes the buffet breakfast in the restaurant, free Wi-Fi throughout the hotel, and the applicable VAT and city tax.
Q17. Do I need to pay anything at the hotel when I check out?
Your room, breakfast and taxes will be prepaid upon completing your reservation. When you check out, you will need to pay for any additional expenses you may have such as bar, minibar, restaurant, etc.
After my stay
Q18. Which cost centre do I need to use for my expense note?
You need to use your own department's cost centre for the accommodation expenses for InnoTrans.
Q19. How do I justify the cost of accommodation in my expense note?
Each edition of InnoTrans, all Alstom delegates are hosted at the same hotel during the fair. This year, the dedicated InnoTrans Hotel is the Hilton Berlin. Special room rates and conditions have been negotiated for our company in this hotel, and a group room block has been pre-reserved on which you're invited to make your individual booking.
